Terms of Service

In short: By using Avodah you agree to these terms. Use the platform responsibly, respect other users, and your church administrator manages access for your organisation.

1. Agreement to Terms

These Terms of Service ("Terms") govern your access to and use of the Avodah platform, including our web application, mobile applications (iOS and Android), APIs, and all related services (collectively, the "Service"), operated by Avodah Software ("we", "us", "our").

By creating an account, accessing, or using the Service, you agree to be bound by these Terms and our Privacy Policy. If you do not agree, you must not use the Service.

2. Definitions

  • "Church" or "Organisation" refers to the church, ministry, or non-profit that subscribes to Avodah
  • "Church Administrator" refers to the person(s) who manage the Organisation's account and configure settings, roles, and permissions
  • "Member" or "User" refers to any individual who has been given access to the Service by a Church Administrator
  • "Content" refers to any data, text, images, files, or other materials uploaded, submitted, or transmitted through the Service

3. Account Registration and Access

3.1 Eligibility

You must be at least 16 years of age to create an account. By registering, you represent that you meet this age requirement and that the information you provide is accurate and complete.

3.2 Account Security

You are responsible for:

  • Maintaining the confidentiality of your password and authentication credentials
  • All activities that occur under your account
  • Notifying us immediately of any unauthorised use of your account

We strongly recommend enabling two-factor authentication where available. We are not liable for any loss arising from unauthorised use of your account where you have failed to maintain adequate security.

3.3 Invitation-Based Access

Access to the Service is typically granted through an invitation from a Church Administrator. Your access level, features, and visible data are determined by the roles and permissions assigned by your Church Administrator.

4. Church Administrator Responsibilities

If you are a Church Administrator, you acknowledge and agree that:

  • You are responsible for managing user access, roles, and permissions within your Organisation
  • You are responsible for ensuring you have the appropriate legal basis (e.g. consent, legitimate interest) to store personal data about your members on the platform
  • You will handle personal data of members in compliance with applicable data protection laws (including GDPR and UK Data Protection Act 2018 where applicable)
  • You are responsible for the accuracy and appropriateness of custom attributes, categories, and data fields you create
  • You will obtain appropriate parental consent before storing information about minors (under 16)
  • You will use the impersonation feature (if available) solely for legitimate support and troubleshooting purposes

5. Acceptable Use

You agree not to use the Service to:

  • Violate any applicable law, regulation, or third-party rights
  • Upload, share, or transmit content that is defamatory, obscene, threatening, abusive, or otherwise objectionable
  • Harass, bully, or intimidate other users through the messaging or communication features
  • Impersonate any person or entity, or misrepresent your affiliation with any person or entity
  • Attempt to gain unauthorised access to other users' accounts, data, or church organisations
  • Interfere with or disrupt the integrity or performance of the Service
  • Reverse engineer, decompile, or disassemble any part of the Service
  • Use the Service to send unsolicited bulk messages or spam
  • Upload files containing malware, viruses, or other harmful code
  • Scrape, harvest, or collect user data from the Service without authorisation
  • Use the Service for any purpose other than church or ministry management

6. User Content

6.1 Ownership

You retain ownership of all Content you submit to the Service. By uploading Content, you grant us a limited, non-exclusive licence to store, process, and display that Content solely for the purpose of providing and improving the Service.

6.2 Responsibility

You are solely responsible for the Content you submit. We do not endorse or verify any user-submitted Content, including chat messages, prayer requests, expense claims, or uploaded files.

6.3 Content Removal

We reserve the right to remove Content that violates these Terms. Church Administrators may also remove or moderate Content within their Organisation. When you delete your account, your personal data will be removed in accordance with our Privacy Policy.

7. Messaging and Communication

Avodah provides in-app messaging features, including direct messages and group chats. When using these features:

  • Message content is stored on our servers and accessible to conversation participants
  • Church Administrators with appropriate permissions may be able to access group chat content for moderation purposes
  • You may block other users to prevent them from messaging you
  • You may report users who violate these Terms or engage in inappropriate behaviour

We are not responsible for the content of messages sent between users. If you experience harassment or abuse through the messaging system, use the report and block features or contact your Church Administrator.

8. Expense and Financial Features

8.1 Expense Tracking

The Service allows you to submit expenses, upload receipts, and store bank account details for reimbursement purposes. You agree that:

  • All expense claims you submit are accurate, honest, and relate to legitimate church expenses
  • Receipt images you upload are genuine and unaltered
  • Bank account details you provide are your own and accurate

8.2 AI Receipt Extraction

The Service may use AI to automatically extract data from uploaded receipt images. This feature is provided as a convenience. You are responsible for verifying the accuracy of any AI-extracted data before submitting an expense claim.

8.3 No Financial Advice

Avodah is not a financial services provider. The expense tracking and reporting features are administrative tools and do not constitute accounting, tax, or financial advice. Your Organisation remains responsible for its own financial compliance and reporting obligations.

9. Admin Impersonation

Authorised administrators may use the impersonation feature to view the Service as another user. This feature:

  • Is restricted to users with explicit impersonation permissions
  • Displays a visible indicator when active
  • Is logged for audit and accountability
  • Must only be used for legitimate support, troubleshooting, or administrative purposes

Misuse of the impersonation feature is a violation of these Terms and may result in account suspension.

10. Subscriptions and Payments

10.1 Plans

The Service is offered under various subscription plans (including a free tier). Features available to you depend on the plan your Church Administrator has selected.

10.2 Billing

Paid subscriptions are billed in advance on a monthly or annual basis. Prices are subject to change with 30 days' notice. Continued use after a price change constitutes acceptance of the new pricing.

10.3 Cancellation

You may cancel your subscription at any time. Cancellation takes effect at the end of the current billing period. We do not provide prorated refunds for partial billing periods unless required by applicable law.

10.4 Free Tier

The free tier is provided as-is with limited features. We reserve the right to modify the scope of free tier features at any time.

11. Intellectual Property

11.1 Our Property

The Service, including its design, code, features, branding, logos, and documentation, is owned by Avodah Software and protected by intellectual property laws. These Terms do not grant you any rights to our intellectual property except the limited right to use the Service as described herein.

11.2 Feedback

If you provide us with feedback, suggestions, or ideas about the Service, you grant us an unrestricted, irrevocable, perpetual licence to use that feedback for any purpose without compensation.

12. Third-Party Integrations

The Service may integrate with third-party services (e.g. WhatsApp, MyWorshipList, accounting software). These integrations are subject to the terms and policies of the respective third-party providers. We are not responsible for the availability, accuracy, or practices of third-party services.

13. Service Availability

13.1 Uptime

We strive to maintain high availability but do not guarantee uninterrupted access to the Service. The Service may be temporarily unavailable due to maintenance, updates, or circumstances beyond our control.

13.2 Modifications

We reserve the right to modify, update, or discontinue features of the Service at any time. We will provide reasonable notice of significant changes that affect your use of the Service.

14. Termination

14.1 By You

You may stop using the Service and request account deletion at any time by contacting your Church Administrator or us directly.

14.2 By Us

We may suspend or terminate your access to the Service if:

  • You violate these Terms
  • Your Church Administrator revokes your access
  • Your Organisation's subscription lapses or is terminated
  • We are required to do so by law
  • We reasonably believe your account has been compromised

Where possible, we will provide notice before suspension or termination, except in cases of serious violations or security threats.

14.3 Effect of Termination

Upon termination, your right to access the Service ceases immediately. We will retain and handle your data in accordance with our Privacy Policy. Sections of these Terms that by their nature should survive termination will continue in effect.

15. Disclaimer of Warranties

THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, WHETHER EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT.

We do not warrant that:

  • The Service will meet your specific requirements
  • The Service will be uninterrupted, timely, secure, or error-free
  • Results obtained from use of the Service will be accurate or reliable
  • AI-powered features (such as receipt extraction) will produce error-free results

16. Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, AVODAH SOFTWARE SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING BUT NOT LIMITED TO LOSS OF DATA, LOSS OF PROFITS, OR BUSINESS INTERRUPTION, ARISING OUT OF OR RELATED TO YOUR USE OF THE SERVICE.

OUR TOTAL LIABILITY FOR ANY CLAIMS ARISING UNDER THESE TERMS SHALL NOT EXCEED THE AMOUNT YOU PAID US IN THE TWELVE (12) MONTHS PRECEDING THE CLAIM, OR ONE HUNDRED POUNDS STERLING (GBP 100), WHICHEVER IS GREATER.

Nothing in these Terms excludes or limits liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded by law.

17. Indemnification

You agree to indemnify and hold harmless Avodah Software from any claims, losses, damages, liabilities, and expenses (including legal fees) arising from:

  • Your use of the Service
  • Your violation of these Terms
  • Content you upload or share through the Service
  • Your violation of any applicable law or third-party rights

18. Governing Law and Disputes

These Terms are governed by and construed in accordance with the laws of England and Wales. Any disputes arising under these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.

Before initiating legal proceedings, you agree to attempt to resolve disputes informally by contacting us at legal@avodahapp.com. We will make good-faith efforts to resolve the matter within 30 days.

19. General Provisions

  • Entire Agreement: These Terms, together with our Privacy Policy, constitute the entire agreement between you and Avodah Software regarding the Service
  • Severability: If any provision of these Terms is found invalid or unenforceable, the remaining provisions will continue in full force and effect
  • Waiver: Our failure to enforce any right or provision of these Terms does not constitute a waiver of that right or provision
  • Assignment: You may not assign or transfer your rights under these Terms. We may assign our rights and obligations without restriction
  • Notices: We may send notices to the email address associated with your account. You may send notices to legal@avodahapp.com

20. Changes to These Terms

We may revise these Terms at any time. We will notify you of material changes by posting a notice in the Service or sending an email at least 14 days before the changes take effect. Your continued use of the Service after the effective date constitutes acceptance of the revised Terms.

If you do not agree to the updated Terms, you must stop using the Service before the changes take effect.
